How to Book a Trip
CHOOSING YOUR TRIP
Booking your trip is an exciting experience and it is important to us that you choose the trip that is right for you. Please be mindful of the following:
Read the trip descriptions carefully to ensure you are selecting a holiday that suits your level of skiing ability
Consider any medical conditions or injuries that you might be suffering from. If in doubt, speak to your GP and share our trip info so they can advise you as to its suitability, further detail can be found at Clause 5 of our Terms and Conditions

SOLO TRAVELLERS ROOM OPTIONS
Room options for solo travellers vary by holiday type and hotel location.
Accommodation for solo travellers for the Signature Journey race camps is based on two people of the same gender sharing a twin room. There is no single occupancy available
For holidays at the Gassenhoff: solo travellers enjoy single occupancy in a double room at no additional cost
For holidays at Pellestova: solo travellers are booked into a twin room and will share with someone of the same gender. If you would like to stay on your own, please make an enquiry here. We need to check availability before you book. A single occupancy supplement charge of £385 for the week applies. We will confirm in writing within 72 hours if you can make a single person booking and provide the correct code for checkout
BEFORE YOU BOOK
Insurance
Before you make a booking, please ensure you are aware of the insurances required for your participation. It is your responsibility to purchase and full details of the requirements are contained in the Terms and Conditions. This document also contains full details of the insurances take out by Wildtrack Nordic to protect you and your trip.
Official documents
The requirements for your official documentation can be found at Clause 16 of our Terms and Conditions, but in summary:
Passports: you will need a valid passport; many countries require 6+ months’ validity beyond your return date
Visas: you will need to confirm the requirements early and ensure you have at least one blank page in your passport
BOOKING PROCESS
Find your trip via the Trip Search, Trip Calendar or the trip categories at the top and bottom of the homepage
On the Trip page, go to Dates & Prices and click BOOK NOW for your preferred week
If you are a group booking the lead travelers’ details are added first
The following information is required at the time of booking:
Email address
First name
Surname
Telephone number
Additional information required
The following information is also required, no later than 6 weeks before the start date of the holiday:
Passport details (number, date of issue, date of expiry, place of issue)
Dietary requirements and any allergies
Medical Information that you wish to share
Height in CM, required to accurately size your poles
Weight in Kilos, required to accurately select skis for you
Shoe Size in EU format, required to accurately select your boots
Size for a hooded jumper, a free branded hooded sweatshirt is provided for all guests
Insurance policy details (company name, policy number, providers emergency contact number)

Trip Account Creation
Your account is created automatically during the booking process. You will be sent a confirmation email with a link to your account immediately after booking. This allows you to view your booking, make payments and provide additional details as required.
Making payments
Deposit due at booking is 25% of the trip total, this amount is shown on the form.
Within 8 weeks of departure: full payment is required (if you book inside 8 weeks, full payment is due on booking).
You can make interim payments if you wish through your account.
You can Pay by bank transfer, Visa or Mastercard.
You will receive automated reminders 2 weeks before final payments are due.
If payment in not received 8 weeks prior to the date of arrival in the holiday location we may cancel you booking and apply charges as per Clause 2 in the Terms and Conditions.
No Surcharge Guarantee
The price you see when you pay your deposit is the price you will pay—no post booking increases will be applied to your booking, but you might find that the advertised booking prices for your trip may increase as the trip gets closer.
Trip Status
Do not book flights immediately after booking. Each trip requires a minimum number of guests to run, this is shown at the time of booking. If the trip fails to attract the minimum number of guests, then the trip will be cancelled no later than 8 weeks before the start date, as per Clause 9 (4) of our Terms and Conditions; Booking Terms and Conditions
If a trip is cancelled due to low numbers, you may transfer your booking free of charge to another date if available, or receive a full refund of your deposit.
We can’t accept liability if you book non-refundable travel before the trip is guaranteed. If you choose to book early, please use fully refundable tickets.
You will receive an email when your trip is guaranteed to run, confirming the airport you should arrive at and an arrival window for the hosted transfer. If you arrive outside of this window, you will need to organise your own transfer to the hotel at your own cost.

4 weeks before the trip you will receive comprehensive Joining Instructions that contain information about:
Where to meet your guide at the airport
Contact number of the guide
Emergency contact number from Wildtrack Nordic for any issues
Packing list, kit notes and any venue specific updates
A brief week outline and local information
Changes to your details and Information
Please update your booking form with any changes – especially with health
and injury concerns and follow this up with an email outlining the changes.
